MANAGEMENT POLICY ON REPORTING
In addition to any policies which may exist within the Governing Documents of the Association, the following process/policy will be used when handling incoming homeowner correspondence at the Management level:
If you are encountering a life threatening emergency or a crime, please dial 911 and file a police report prior to reporting the incident to Management.
If you are a tenant of a unit and wish to report something: Please send the information to the owner of your unit, who will then submit the information in writing to Management. Information submitted directly from a tenant will be returned to the sender without review.
If you have an inquiry/question about your assessment account: Please submit your question in writing to accounting@c7properties.com. You may also call 310-622-7012 and follow the prompts for Accounting, but some requests will still need to be sent in writing to be processed.
If you are the owner of a unit and wish to report a non-emergency maintenance issue on behalf of yourself or your tenant: We recommend that you submit your correspondence in writing to management@c7properties.com, or to the address listed below, for proper review and response. If you send it to another email address, it will delay the response. Once received, the correspondence will be forwarded to the Board of Directors prior to the next Board Meeting, if submitted at least 1 week prior to the meeting. Once reviewed at the meeting, you will be advised of the Board’s response at or following the meeting.
If you are an owner reporting an incident on your own behalf, or on behalf of your tenant: You may submit the report in writing, using the attached Homeowner Incident Report Form. Once received, the correspondence will be forwarded to the Board of Directors prior to the next Board Meeting, if submitted at least 1 week prior to the meeting. Once reviewed at the meeting, you will be advised of the Board’s response at or following the meeting.
You may also submit a witness report on behalf of another owner, but that owner must sign your witness report. In accordance with Association policy, a copy of the incident report/witness report may be provided to the offending party.
